I am a new tenant administrator and have just received my Izix invitation. What are my next steps?

Learn how to give your staff access to Izix and your parking facilities.

This article is intended for Izix administrators, with a particular focus on new tenants' administrators following the self-onboarding process.

The below steps are only possible if a lease was created for you. If you have not yet received an Izix invite, please reach out to your Property Manager or parking owner. Izix only creates leases for tenants if the demand is received from Property Managers or parking owners.

1. Why do I need to take action?

Parking access and spot allocation are managed through leases. Each tenant or subtenant must hold an active lease within Izix. Similar to traditional property leases, an Izix lease specifies the number of parking spots allocated to a company and outlines key terms, such as permitted access hours. Therefore, whenever the owner of the parking or the Property Manager establishes a new agreement with a tenant or modifies an existing one, these updates must be reflected in Izix. While Izix takes care of the lease creation for you, as a self-onboarding tenant administrator it is important that you add your users to the system and assign Access Rights to the users. The Izix Support Team is available to guide you if you have any questions, but these actions must be completed internally by your organisation, as they involve company-specific information and decisions.

If you are unclear whether a lease was already created for you, please first reach out to your Property Manager or the parking owner.

2. What are the steps that I need to take?

a. Add users to Izix

Navigate to the profiles list and initiate the creation of a new profile. You can add individual profiles manually or utilise the CSV upload option for bulk profile creation. Use this link to access the profile creation form. Don't invite your users to Izix yet.

b. Designate selected users as administrators

For effective system management and business continuity, we advise appointing 2–3 Izix administrators within your organisation. This approach ensures your team retains full system access in the event of staff absences or personnel changes. To assign administrative privileges, open the relevant user’s profile, select “Roles,” and add the “Organisation Administrator” role. It is recommended to add the term "admin" to the profile's name for a swift identification.

c. Assign Access Rights

Ensuring users have the correct access is essential to a smooth onboarding process. By default, unless otherwise specified by the parking owner or Property Manager, your company is provided with both Reservation and First Come First Served (FCFS) Access options.

  • The Reservation access allows your users to book a parking spot 14 days in advance. No access is granted without a valid reservation.
  • The FCFS access allows your users to drive inside the parking as long as there are still free spots available. No reservation required, no planning allowed.

We recommend selecting and applying one of these access types for all users to maintain a consistent experience. To assign Access Rights, navigate to the profile list, select the relevant users, and use the actions menu to assign parking access to multiple profiles at once.

d. Invite your users to Izix

As a final step, invite your users to join Izix. Users must receive and accept their invitation before they can access and use the Izix platform. To invite your users, navigate to the profile list, select the relevant users, and use the actions menu to invite multiple profiles at once. Users will receive an email with further instructions.

3. What should I communicate to my users?

After sending invitations, communication with your users is handled by Izix. Once they accept the invitation, users will be welcomed to the platform and prompted to download the Izix app, where they can access all information related to their parking rights.
