Adding Contextual Information to Access Policies and Parkings

Give operators, reception and security staff context on parking instructions for parkers and provide visitors with parking access instructions.

1. Why Add Contextual Information?

Contextual information in Izix helps guide users effectively when accessing your premises. Key benefits include:

  • Better Orientation: Provide clear instructions to find entrances, exits, or pedestrian accesses

  • Reduced Support Calls: Clear instructions decrease assistance requests

  • Internal Documentation: Keep notes visible only to administrators

This information is particularly useful in situations such as:

  • Parking lots with multiple entrances or levels

  • Complexes where access routes are not obvious

  • Parking areas requiring specific instructions (additional code, special procedure)

By leveraging contextual information, you can streamline the parking experience, reduce support requests, and ensure users and staff have the guidance they need.

The highlighted fields below are visible to control room operators, as well as to your visitors as part of the visitor confirmation email; however, they are not yet accessible within the Izix application interface nor to Izix simple users.

2. Types of Contextual Information

You can add different types of contextual information:

  • Entry Instructions: How to access the parking (e.g., "Follow the signs to P1 entrance.")

  • Exit Instructions: How to leave the parking (e.g., "The exit is on level -2, follow the 'EXIT' signs.")

  • Pedestrian Instructions: How to access the building from the parking (e.g., "Take the elevator near spot B12.")

  • Parking Rules: Specific rules (e.g., "Parking limited to 4 hours") – Contact Izix support to modify

  • Internal Notes: Information visible only in the Control Room, not to visitors – Contact Izix support to modify

This information appears:

  • In the Control Room (support interface)

  • In visitor confirmation emails

Note: This information is not currently visible in the Izix app.

3. Parking Level vs. Access Policy Level: What’s the Difference?

The key distinction is whether you need information to appear universally across all Access Policies or require details tailored to specific Access Policies or user groups.

Parking Level – Ideal for:

  • General instructions about the parking location

  • Standard entry/exit procedures

  • General rules (opening hours, limitations)

Access Policy Level – Ideal for:

  • Instructions specific to visitors

  • Special procedures for certain user groups

  • Temporary or exceptional access

  • Differentiating instructions based on time or access zones

You can add contextual information at two different levels, depending on your needs:

Important: Instructions set at the Access Policy level override those defined at the Parking level. For instance, if you provide entry instructions at both levels, the instructions from the Access Policy will take precedence.

a. How to Add Information at the Access Policy Level

To add contextual information to a specific Access Policy:

  1. Go to the "Access Policies" section in your Izix dashboard.

  2. Select the relevant Access Policy.

  3. Click "Edit".

  4. Enable the "Instructions" button (it should turn green).

  5. Fill in the desired fields in all three languages (EN, FR, NL).

  6. Click "Save".

If an instruction is not defined in the user's language, that section will appear empty for them.

b. How to Add Information at the Parking Level

To ensure consistent information appears across all Access Policies without manual updates, Izix Support can apply changes on your behalf. Administrators are not able to configure these fields at the parking level. Please submit all details you would like displayed.

4. Frequently Asked Questions

We would like to give our Izix users more information on how to choose the right area or spot. Are the instructions visible in the Izix app?

  • No, contextual instructions are currently only visible in the Control Room and in confirmation emails sent to visitors (visitor booking confirmation). Izix is aware of the benefit of displaying such information on the app and it is planned to have this available in the future.
