How do I create a new lease or request a lease creation?

Access to spots is granted through leases. Learn how to create a lease or request a lease creation and understand the details of the self-onboarding process for your tenants.

This article is intended for Izix administrators. More specifically parking owners and Property Managers. Please note that Izix Support remains available to guide you and your tenant through the process as part of the standard self-onboarding process. Custom onboardings or trainings require an agreement with your Account Manager and are not foreseen as part of the self-onboarding process.

Definition: A lease is an agreement between two organisations, where an organisation (the lessor) delegates the usage rights of its parking spots (or a subset of spots) to another organization (the tenant).

Once an organisation has rights to a parking spot, it can use it and/or lease it again. In this way, the usage rights can be transferred (leased) over and again. That means that the lessor is not always the owner of the parking lot.

1. What is a lease and why do I need it?

Parking access and spot allocation are managed through leases. Each tenant or subtenant must hold an active lease within Izix. Similar to traditional property leases, an Izix lease specifies the number of parking spots allocated to a company and outlines key terms, such as permitted access hours. Therefore, whenever you establish a new agreement with a tenant or modify an existing one, these updates must be reflected in Izix.

Key points to note:

  • A lease cannot be created if no parking spots are available.
  • For new tenants, lease activation is not immediate—the Izix Support Team will confirm tenant and lease creation within two working days.
  • Parking owners can allocate spots for their own use by creating a self-lease under their organisation’s name.
  • Tenants may establish subleases to utilise unused spots, following the same process as standard leases.

It is in the responsibility of the Property Manager or Parking Owner to ensure changes are timely communicated to Izix and adapted in the system.

2. Verify existing leases status

Before initiating a new lease request, please review your current leases to confirm they are accurate and determine if any leases should be ended or if the number of allocated spots should be adjusted. This step is essential to ensure tenants have appropriate access and to maintain accurate records. You can review all active leases in the leases overview within the Parking Management Interface (PMI), accessible here. If any adjustments are needed, please contact Izix Support. As an administrator, you cannot make any changes to existing leases.

3. How can I create a lease?

a. Create it yourself

You can access the lease overview and the option to create a new lease directly within the Parking Management Interface (PMI). The overview displays all active leases for your property. Please review these regularly to ensure all details are current. If you notice any discrepancies or require changes, contact the Izix Support Team for assistance. To start a new lease, use the lease creation form available here.

Tip: We recommend leaving the end date open to prevent unexpected loss of access. If an end date is set, tenants will immediately lose access to parking and the Izix platform once that date is reached.

Note: Lease creation is not instantaneous. The Izix Team will review your request and respond within 48 hours.

b. Reach out to the Izix Support Team

Our Support Team remains at your disposal to process the lease creation for you. Please ensure to provide all relevant information:

  • Parking name and address
  • Parking/Access schedule (e.g. 7AM-9PM or 24/7)
  • Tenant company name 
  • Tenant administrator(s) contact details (full name, email address, preferred language)
  • Number of spots required
    • Name specific type of spots if applicable (standard car spots, motorbikes, bicycles, EV spots etc.)
  • Inform the Support Team in case already existing leases must be terminated or adjusted

It is in the responsibility of the Property Manager or Parking Owner to ensure all information are provided to Izix to execute the desired changes.

4. After the lease creation

Once the lease has been created, the selected tenant administrator will receive an automatic notification confirming the lease setup. At the same time, you, as the requestor, will receive a confirmation from Izix that the lease is active.

By default, new leases are configured with the following access policies:

  • Reservation Access
  • First Come First Served (FCFS) Access

Next steps for the designated tenant administrator:

  1. Add users to Izix.
  2. Assign appropriate Access Rights to those users.

Please note: Without assigned Access Rights, users will not be able to access the parking facility. As the owner or Property Manager, it is vital to communicate this requirement clearly to your new tenant.
