How to book your visit as a visitor ?

Learn how to book your parking spot via the Izix Visitor Portal.

Have you been invited by an organisation to reserve a parking spot for your next visit to their premises? Your reserved spot is just a few clicks away. Enjoy the smooth reservation process via Izix for a hassle-free visit and access to the organisation's parking. 

You may be asked to pay to reserve your space via the Visitor Portal. Furthermore, the possibility of dates and amount of bookable spot may vary. These items are defined by the hosting organisation and cannot be change by Izix.

As a visitor, you have the option to receive the invitation via different modes of communication, no matter the way of receipt, they all lead to the Visitor Portal: 
    • An email from Izix inviting you to click on an URL to reserve a parking space at the organisation in question.
    • A QR Code sent by any communication channel. You can scan the QR code with your mobile phone to access the Visitor Portal.
    • An URL link sent by any communication channel that you can then open on a web page.

Steps to follow to reserve your parking space :

  • Date: Depending on the choices made by the host organisation, you will either be able to choose the date on which you wish to reserve your space, or the date is already set and you are only allowed to reserve for a specific date.
  • Duration: Depending on the choices made by the host organisation, you will either be able to choose your timeslot freely or select predefined slots or both.
  • Number of parking spots to reserve: Depending on the choices made by the host organisation, you may either select one or multiple spots. 
  • Personal details of visitors to fill in: In case you are reserving several parking spots involving several people, you need to enter the details (first name, last name, licence plate, email address) for each of them.
  • By clicking on ‘Proceed’, you will either :
    • Receive a confirmation message summarising your booking. In addition to this, you will also receive a booking confirmation email.
    • Be redirected to a Stripe payment page asking you to make the payment for your booking. If you are paying on behalf of a company, you can tick the box to receive an invoice. Once your payment has been confirmed, you will be taken to the confirmation page of your booking.

2. Email confirmation

Your confirmation email will mention the available entry method(s) for the car park in question. The options depend on the setup onsite. The following three access methods may be available:

  • Remote control: A URL (virtual remote control) allowing you to open the gate via a click.
  • ANPR: Access via a automatic number plate recognition. No action needed, the gate will open automatically as long as you filled in the correct licence plate upon reserving the spot.
  • Keypad: A code is mentioned in the email confirmation you received. You will be able to enter it on a keypad at the entry of the parking.

    3. FAQs

    • I would like to make a reservation. I am booking for several visitors, but I do not know all their details. What do I need to do?
      • Unfortunately, all the details (first name, surname, number plate, email) must be provided. It is not possible to leave any information blank. We therefore recommend that you collect all the information required from the visitors concerned so that you can make the booking.
    • I would like to make a reservation, but I cannot book on the date I want. How can I change this?
      • Depending on the configuration of the Visitor Portal by the host organisation, it is possible that the invitation only allows you to book a visit for a particular date. If this is the case, we recommend that you contact the organisation so that they can send you a new link with the agreed date. Izix does not manage this on behalf of the organisation.
    • I would like to make a reservation and book a spot for the entire week. How do I go about this?
      • Unfortunately, we do not yet offer bookings for more than one day. We therefore recommend that you make five bookings (for each day of the week), and this will generate five confirmation emails in which you will have to use the virtual remote control proposed for each day. You will require five invitation from the host organisation.
    • I would like to make a reservation, but there are no more spots available for the date of my visit. What should I do?
      • In this case, you should contact the host organisation. They may offer an alternative option. Otherwise, you should consider that there are no more spots available on that date and time. Izix does not manage occupancy on behalf of the organisation.
    • I have a booking and I am trying to enter. When I click on the virtual remote link in the email, I am redirected to my Izix application and nothing is displayed. What should I do?
      • You may have a user profile with another organisation using Izix. Visitors, however, cannot use the Izix app to open a gate.
      • You need to copy and paste the link from the confirmation email into a web browser of your choice. This will give you access to the virtual remote control that will allow you to open the gates. 
    • I have a booking. When I click on the virtual remote control I cannot see any buttons to open the gate. Why is this and how can I solve it? 
      • Access to the virtual remote control is only possible during the time slot of your booking: in other words, if you make a booking between 2-5pm, the virtual remote control will only be available between 2-5pm. Outside of this time slot, the virtual remote control will not be available. A message will be displayed explaining that you are outside the reservation validity period.
    • I would like to cancel my reservation. Can I cancel it, and if so, will I be refunded?
      • You can cancel your booking from the confirmation email you received. By clicking on ‘cancel reservation(s) here’, you will be able to cancel your reservation. If you booked several parking spaces but only want to cancel one, you can also do this.
      • If you paid for your reservation, you will automatically be refunded to the account used for the initial payment. Once the cancellation has been confirmed, you will receive an e-mail notification.
      • Note: Each visitor must cancel for themselves. The main booker cannot cancel for all visitors.
    • I would like to cancel my reservation, but I no longer have the confirmation email. What do I do?
      • Please reach out to the host organisation to cancel your reservation. Izix does not manage this on behalf of the organisation.
    • I already visited the premises. I paid for a visit today and ended up staying only a few hours. Is it possible to get a refund for the part I wasn't in the parking ?
      • We don't yet allow refunds for unused time slots. From the moment you book for a slot, no matter how long you stay, you will pay the initial price. No refunds are possible in this case.
    • How are costs defined for a Visitor Portal with payment? Are the costs defined per hour or flat rate? Why do I have to pay VAT?
      • These costs are determined by the host organisation. The cost is defined per hour or for the full day. You have to pay VAT because the host organisation is offering you a service which has to be declared. These settings cannot be influenced by Izix.
